Reporting Vaccine Transfers

About Transfers 

  • Providers who transfer doses into or out of inventory must account for those doses on their next vaccine order to avoid inventory discrepancies that delay order processing.  
  • Follow proper vaccine packaging and temperature monitoring while transporting vaccines to another active program provider.  
  • Do not transfer vaccines exposed to multiple temperature excursions. 
  • Do not transfer punctured multi-dose vials. 
  • Do not transfer publicly supplied vaccines to non-program providers or any locations that don’t have CDPH-compliant storage units and temperature monitoring devices. 

How to Transfer 

Follow these step-by-step instructions to transfer vaccines to another program provider. Refer to the myCAvax Knowledge Center for step-by-step reporting instructions. 


StepDescription
1.Contact the Provider Call Center (or VFC Program for VFC vaccines) for approval prior to transferring vaccines. 
2.Contact an active program provider(s) to ensure the facility can use the vaccine type and quantity of doses to be transferred. Tip. Use the My Turn Vaccine Locator (myturn.ca.gov/vaccinelocator.html). 
3.Login to myCAvax to initiate vaccine transfer and follow system guidance.  
4.Transport vaccines following guidance for refrigerated vaccine transport (PDF) and frozen vaccine transport (PDF) using a vaccine transport log (PDF)
a. For temperature excursions in transit, providers are not required to accept affected vaccines.

1.Verify temperatures on the vaccine transport log to confirm vaccines were maintained under manufacturer-recommended temperatures. 
a. Providers are not required to accept transferred vaccines affected by temperature excursions. Providers may reject the transfer in myCAvax to close out the transaction. 
b. If providers accept affected vaccines, report the temperature excursion in myCAvax and do not use affected vaccines until vaccine viability has been determined. 
2.Store vaccines in designated baskets or shelf space following practice protocols.  
3.Login to myCAvax to accept transferred vaccines and follow system guidance.
